How do missions work?
Daily allowance (DSA)
- Flat-rate amount per mission day
- Covers meals, local transport and miscellaneous costs
- Full allowance for each 24-hour period
- Half allowance for shorter periods
Hotel ceiling
- Maximum reimbursable amount per night — actual costs on invoice
- Single standard room, city tax and VAT included
- Derogation possible if ceiling is insufficient (prior AIPN approval required)
- Ceilings revised every 2 years by Eurostat
Mission procedure
- Before: approved mission order (EP intranet → Missions)
- During: keep all receipts and invoices
- After: expense declaration within 30 days
- Most economical transport mode should be used
Missions outside the EU
Ceilings for non-EU countries are set by Decision C(2002) 98. Amounts are generally higher. Available on EP intranet → Missions → Rates.

FAQ Missions
💰 Can I be reimbursed above the hotel ceiling?
Yes, but only with prior derogation from the AIPN. It must be requested before the mission and justified. About 10% of missions require such a derogation.
🍽️ Does the daily allowance cover meals?
Yes. The DSA is a flat-rate allowance covering meals, local transport, insurance and miscellaneous costs. No receipts are required — only the flat-rate amount is paid.
🚗 Can I use my personal car on mission?
Yes, with prior approval in the mission order. A mileage allowance is paid but cannot exceed the cost of an economy train/plane ticket for the same journey.
📅 When are the ceilings updated?
Tous les deux ans par Eurostat. La dernière mise à jour date du Regulation (EU) 2025/693 (publié le 12 mai 2025).
🇬🇧 What rates apply to the United Kingdom?
Since Brexit, the UK is no longer covered by Annex VII of the Staff Regulations. UK missions follow third-country rates (Decision C(2002) 98).
